MINUTES

Determination of Roles and Responsibilities
  • Jeff McQuistan was designated as facilitator for the 2010-11 academic year. With the disclaimer that this is a comprehensive ESU accreditation committee and not specific to staff development. Germaine made the motion and it was seconded by Nicole. Motioned passed unanimously.
  • Cristen Witte was designated as recorder for the 2010-11 academic year. Germaine made the motion and it was seconded by Peggy. Motioned passed unanimously.
  • Discussion concerning rotation of committee members indicated that a term would not be placed on individuals on the committee. Individual committee members have the opportunity to make the individual choice as to whether or not they continue to serve on this committee.

All ESU Staff CIP Day
  • Motion was made by Germaine for January 3rd, 2011. Discussion was held and due to school schedules and contract days this was declined. A vote of 'no' was unanimous. Peggy made a motion for January 4th, 2011 as the ESU CIP day and seconded by Germain. Motion passed unanimously.
  • The NCA Readiness visit is schedule for May 23rd, 2011 for all staff.

Schedule Remaining 2010-2011 Planning Meetings (through May)
  • Discussion of meeting prior to January 4, 2011. Meeting on November 12th @ 1:00 p.m. via polycom between Valentine and Ainsworth was consented to by all members present.
  • Second semester discussion was held concerning dates. Having a meeting close to the January 4th date will help committee members with organization of information. Another meeting may be necessary prior to NCA Readiness visit. Consensus was came to for February 4th, 2011 @1:00 via polycom between Valentine and Ainsworth.
  • To prepare for NCA Readiness visit the committee will meet on May 6th @ 1:00, 2011 in Valentine.
  • During the May 6th, 2011 meeting all staff meeting dates will be set for the 2011-12 school year. Committee members are to bring individual school district schedules to this meeting.

Accreditation Application
  • Fee of $2000 annual fee and $350 for schools being run by the entity. The ESU does not operate any schools so, the annual fee would then total $2000. In addition to the annual fee, a $350 application fee is also due; total for this academic year is $2350.
  • For academic year the NCA fee would be $2000 for annual dues.
  • For 2012-13 fees would include $2000 annual dues, a $1500 expense fee for the QAR visit, and expenses for the visiting QAR team members.
  • Dennis will present this information to the ESU 17 Board. Acceptance of these terms by the board is mandatory before we proceed with the NCA Accreditation process.

Steps for Accreditation
  • Jeff expressed that preparation for the NCA Readiness visit should be addressed during the January 4th, 2011 meeting date to assure that all staff members are part of this process.
  • Completion of the Standard Assessment Report (SAR) will be approximately spring of 2013 prior to QAR. SAR must be submitted 6 weeks prior to QAR
  • Will host a visitation date in April or May of 2013 for Quality Assurance Review (QAR). The visitation will identify specific areas for the ESU to improve on. Continuous improvement will then continue for two years on these areas of improvement.

Self Assessment
  • Jeff discussed the rating scale and the corresponding nature of each number 1-4.
  • Do ESU staff members need information concerning the self-assessment prior to the meeting in order for more informed ratings to be acquired.
  • Discussion of the ESU 17 vision and mission statements will need to be reviewed to assist with the self assessment.
  • Committee members will be able to assist in leading discussion during the self-assessment; committee members need to encourage the perspectives of all staff members to lead the group to consensus on the ratings of each question.
  • A suggestion was discussed as to having the self assessment completed on-line so that those not attending the January 4th, 2011 meeting can participate.
  • Jeff will email the the self assessment questions to the ESU 17 staff prior to the January 4th, 2011 meeting. This will allow those coming to the meeting the opportunity to review the self assessment prior to the meeting and initiate discussion. Clarification regarding the questions could be addressed prior to the meeting.
  • The CIP Planning Team will complete the self assessment prior to the November 12th meeting to determine if additional information needs to be shared with the ESU 17 staff prior to the January 4th meeting. Discussion regarding the CIP Planning Team's ratings on the self assessment will take place at the November 12th meeting. The Planning Team was also asked to review the 7 Standards, particularly the Indicators, in order to be able to discuss the Standards on November 12th.
  • What is the best means of compiling the data for the self-assessment? Do we use mean, median or mode? Can we rate something to the decimal (i.e. 2.75)? Jeff will do further research on how to address these questions.

AdvancED Standards
  • Seven Standards that may eventually become five standards.
  • AdvancEd Standards will be presented to all staff members during the January 4th meeting.
